MAIN JOB PURPOSE:

Enterprise & Technology Solutions (ETS) is Unilever’s services & IT organisation that plays a crucial role in Unilever’s simplification and cost agenda by focussing on five thrusts:

Working with around 3500 employees and more than 8000 service provider staff, ETS delivers a wide range of employee services (HR services, Finance Services, Workplace & Travel Services, Information and Analytics services, Program management services and IT Services), manages technology and drives process excellence/information and analytics across Unilever.

The Workplace & Travel Services organisation, a part of ETS, delivers the Real Estate, Facilities Management, Building Projects, Travel and Agile (Workplace design standards) services for Unilever, managing a portfolio in excess of 9 million Square Meters of Space. Working with around 850 permanent employees and 5000 supplier resources.

JOB SUMMARY

Act as analyst for Innovation & Operations and Workplace & Travel Services leadership team. The role will report into the Strategic Governance & Integration Manager, but will work with most members of the team. The role has five main themes i.e. SharePoint, Engagement & Integration, Service Performance Dashboard, Purchase Orders and analyst activities. Responsibilities of the role will cover:

  • Maintenance of Workplace & Travel Services general SharePoint sites, activities include:

  • Act as go to point for the team with questions around SharePoint;

  • Maintain Workplace & Travel Services Knowledge bank;

  • Maintain Workplace & Travel Services Published and some team SharePoint Sites;

  • Develop and take ownership of the CoP sharepoint page. Working closely with the CoP lead, Communication, Service Development to ensure that content is accurate and up to date.

  • Support the engagement and integration between the different Workplace & Travel Services service lines:

  • Create Quarterly “Hey What’s New” (Newsletter) and Monthly ZBB newsletter;

  • Assist in quarterly set-up of SDM Community of Practise session;

  • Assist and schedule quarterly Global Townhalls meetings;

  • Support in ETS Events and prepare materials for ETS events like ETS Fairs;

  • Keep the Workplace & Travel Services Communication Plan and Calendar (including events) up to date;

  • Maintain Workplace & Travel Services Communication Distribution lists;

  • Support and closely work together with ETS Communications business partners to share stories and good best practices of the engagement work.

  • Support Workplace & Travel Services Performance Dashboard. Activities include:

  • Monthly ownership for collection and submission of all WP & TS data. Ensure timely updates to the Service Performance Dashboard by the work stream leads in line with the Monthly Reporting Schedule.

  • Act as coordinator between Service Performance, I&A team and Workplace & Travel Services owners to ensure data quality in the cockpit & provide support with data validation and accuracy.

  • Regular updates on project progress to the WP & TS leadership team.

  • Work with Dashboard project lead (Service Performance Business Partner) on improving the design of the dashboard and implementing change requests from the service line.

  • Support of the Governance, Integration and I&O team. Mainly related to support Purchase Order Process. Activities include;

  • Support our controls around purchase to pay

  • Support process that our suppliers are paid on time

  • Support the Workplace Kingston team with the raising of PO’s, tracking commitments with suppliers against broader project funding and activating effective Goods Receipt of invoices

  • To be a key point of contact for our suppliers when issues arise that require further escalation in the standard finance accounts payable processes

  • Proactively review invoices and payments, react quickly and find resolution to any PO, invoice or payment related issues

  • Maintain the Kingston PO tracker

  • Support of the Governance, Integration and I&O team analyst activities, like:

  • Support with development of WPS process improvement

  • Support with improvement of reporting activities

  • Support in various Projects / Jobs to Be Done.

  • Monitor accuracy of Workplace and Travel Services Performance Dashboard

  • Support and ensure engagement and interaction between the various Service Lines in Workplace & Travel Services

  • Support and maintain central Workplace and Travel Services Published and SharePoint sites

  • Support and process Purchase Orders for Kingston based team

  • Act as analyst to support various Workplace and Travel Services projects and Jobs to be Done.
